Start with a source you can trace

For an external event that claims a university connection, look for confirmation on the university’s own domain. If you cannot find it, ask the relevant office through a contact obtained independently of the invitation.
Distinguish four dates
Record the event dates, abstract deadline, paper deadline and registration deadline separately. An upcoming conference may already have closed submissions. A revised deadline should be checked against the current call, not inferred from a directory’s “upcoming” label.
For regional and international collaboration, save the stated time zone for an online deadline. Record the participation format and whether a presentation can be delivered remotely. Treat missing detail as a question for the organiser, rather than assuming a hybrid option exists.
Keep the edition URL with your record so a colleague can reproduce the check. An event series homepage alone may not identify the specific call you intend to use.
Match the programme to your purpose
Look at the programme structure, subject scope and expected audience. Decide whether you are seeking a specialist discussion, a student research presentation or a wider interdisciplinary exchange. Each can be valuable, but they should not be described as equivalent outputs.
